HEPA and FFU Procurement: Evidence, Interfaces and Acceptance
Compare a HEPA filter or fan filter unit using the specified test method, rated operating conditions and installation interface. A filter performance claim alone does not establish the performance of the installed room.

Match reports to the supplied item
Check report issuer, date, sample or model identification, test method, conditions and result. A generic brochure is different from a model-specific test report. Confirm which evidence is included with the order and which checks take place after installation.
Review installation as a separate acceptance stage
Transportation, seals, installation workmanship and the surrounding airflow system affect the installed result. Agree installation checks and any site testing with the responsible project engineer. Do not infer room qualification from a filter label.
Compare ownership costs without inventing savings
Request power consumption at the proposed operating point, replacement-filter information and access requirements. Compare alternatives using the same operating hours and electricity assumptions. Any cost estimate should state its inputs, exclusions and sensitivity to actual use.
Prepare the RFQ
Send application, target operating conditions, quantity, dimensions, ceiling or duct interface, control requirements and destination. Request confirmation of the exact configuration, report availability, delivery scope and project-specific acceptance plan.

Verify the supplier before approving the order
Identify the contracting seller, actual manufacturer and local installer separately. A brochure or certificate held by another company needs a documented relationship and an applicable scope; a company name alone does not verify the proposed equipment.
- Before quotation: define the process, destination, configuration and interfaces.
- Before ordering: reconcile the legal entities, supporting documents, acceptance criteria, price and responsibility split.
- Before shipment: check the approved drawing revision, inspection record, traceability and packing documents.
- At site: confirm installation readiness, agreed tests, outstanding items and maintenance handover.

Filter rating and installed integrity are different checks
